Why a US business address matters
Once your company is formed, you will be asked for a US business address again and again: by banks, payment processors, marketplaces, customers and tax forms. Your home address in Pune or Lagos works for some of these, but many US platforms want a US address, and some reject addresses that look like a PO box.
A virtual office gives your company a real US street address where mail is received, scanned and, if you want, forwarded to you. You can use it as your business mailing address and on public pages without exposing your home address.
Virtual office versus registered agent address
These are often confused. Your registered agent address is where the state and courts send legal notices. It must be in your state of formation, and the agent's role is limited to receiving official documents. Many agents do not allow you to use their address as your general business address.
A virtual office is your company's day-to-day mailing address. Keeping the two separate means ordinary mail does not end up at your agent, and legal notices do not get lost in marketing mail.
Who this is for
- Non-US founders who need a US address for banking, Stripe, Amazon or app stores.
- Founders who want to keep their home address off public filings, invoices and websites.
- Companies that receive IRS letters, checks or vendor mail and need it scanned quickly.
What BookMyLLC handles
- A US street address for your company, not a PO box.
- Mail scanning, with envelope images and scans of opened mail.
- Optional physical forwarding of letters and packages to you.
- Help updating your address with the IRS, your bank and payment providers.
- Completing USPS Form 1583, which authorises the address to receive your mail.
Step-by-step process
- Choose a location. The address does not have to be in your state of formation, but some founders prefer that it is.
- Complete Form 1583. USPS requires the company and each person receiving mail to authorise the mail receiver. This is signed before a notary; remote online notarisation is commonly accepted.
- Verify identity. You provide two forms of ID, one with a photo, as USPS requires.
- Start receiving mail. Mail arrives, is logged, and you choose to scan, forward, shred or hold it.
- Update your records. Change your mailing address with the IRS using Form 8822-B and with your bank and processors.
Documents you need
- Your company formation documents and EIN, if issued.
- A passport and a second ID with your address, such as a national ID or driving licence.
- The names of everyone who should be able to receive mail for the company.
Timeline
Once your ID is verified and Form 1583 is notarised, the address is typically active within a few working days. Scanned mail usually appears within a working day or two of arrival. International forwarding time depends on the courier and your country.
Common mistakes to avoid
- Using a registered agent address as your business address without permission. Many agents forward only official documents.
- Leaving the IRS with an old address. IRS notices have response deadlines; file Form 8822-B when you change address.
- Mismatched addresses across platforms. Banks and processors compare your address with the IRS and state records. Keep them consistent.
- Assuming a virtual office creates a US tax presence. An address alone does not mean you are doing business in a state, but talk to a CPA if you also have staff or inventory there.
What happens to your mail
Once your address is active, every item that arrives is logged in an online dashboard with a photo of the envelope. You then decide what happens to it.
- Open and scan: the item is opened and each page scanned, so you can read it the same day. This is the right choice for IRS and state letters, bank mail and anything with a deadline.
- Forward: the item is posted to an address you choose, individually or batched with other mail to save on postage.
- Shred: junk and marketing mail can be securely destroyed.
- Hold: keep it at the location for a period, for example original documents you will collect later.
- Check deposit: some locations can deposit cheques to your US bank account; ask before relying on this.
IRS letters are the most time-sensitive mail most founders receive. A notice about a missing Form 5472, for example, can carry a large penalty if you do not respond, and the response window starts from the date on the letter, not the date you read it. Scanning means you see it within days rather than weeks.

Virtual office or registered agent address
| Virtual office | Registered agent | |
|---|---|---|

Many companies need both. If you only have one, make sure the address you give a bank matches the one on your formation documents.
How the mail process works
Once your account is active, mail sent to your US address is received by the provider, opened or scanned according to your instructions, and uploaded to your dashboard. You then choose to have it shredded, held or forwarded to another address. Scanning typically takes a working day or two after arrival, and forwarding time depends on the courier and the destination country.
The set-up requires identity verification and a notarised Form 1583, which authorises the provider to receive mail for you. It is a USPS requirement, and the provider cannot skip it.
Where to use the address
- On your website footer, invoices and contracts.
- On bank, payment and marketplace applications, where it should match your formation documents.
- In correspondence with US clients who want a US business address.
Do not use a virtual office address as your registered agent address. They serve different purposes, as the comparison above shows. Our registered agent service covers legal mail separately.
Choosing a virtual office provider
- Check the address is a real street address and not a mailbox label that banks reject.
- Ask how quickly mail is scanned and how long it is stored.
- Confirm they handle the notarised Form 1583 process clearly.
- Ask about forwarding costs and international shipping.
Common questions
"Can banks reject a virtual office address?" Some do, especially for known mailbox-only addresses, so check with the bank first. "Can I receive parcels?" Usually yes, subject to size limits and the provider's rules. "Can I use it as my registered office?" Check state rules; the registered agent address is normally separate.
